Privacy Policy
How we handle personal information when you organize and participate in teams through CourtRoster.
Effective August 19, 2026
01
Scope
This Privacy Policy explains how CourtRoster (“CourtRoster,” “we,” “us,” or “our”) handles personal information when you use our websites, mobile applications, and related team-management services (collectively, the “Service”).
Team captains and administrators may add roster information for teammates who do not yet have a CourtRoster account. If that describes you, we process your information to provide the team features requested by the person who added you. You may contact us to ask about that information.
02
Information we collect
We may collect the following categories of information:
- Account and profile information: name, username, email address, phone number, profile photo, general location, sign-in credentials, account identifiers, and notification preferences.
- Tennis and pickleball information: team and roster membership, player status, ratings, USTA identifier, and related league profile information.
- Team activity and content: teams, seasons, schedules, match and event details, locations, availability responses and notes, lineups, announcements, comments, reactions, results, recaps, photos, invitations, and other content submitted through the Service.
- Communications: messages you send us, support requests, and records of email, SMS, push, and in-app notifications, including delivery status and engagement with team invitations or response links.
- Device and usage information: IP-derived or hashed security signals, device and browser type, user agent, app platform, push token, pages viewed, session activity, timestamps, and diagnostic information.
- Information from others: roster and contact details provided by a captain or teammate, information from Google or Apple when you use those sign-in methods, place data from Google Places, and USTA data when you choose to search for, link, or import it.
03
How we use information
We use personal information to:
- create, authenticate, secure, and maintain accounts;
- provide rosters, schedules, availability, lineups, announcements, reminders, results, recaps, invitations, and team administration;
- deliver transactional email, SMS, push, and in-app communications in accordance with user preferences and applicable law;
- personalize the Service, provide support, and respond to requests;
- measure use, troubleshoot problems, improve features, and develop new ones;
- detect abuse, protect users and the Service, enforce our terms, and comply with legal obligations.
05
Analytics, cookies, and similar technology
CourtRoster uses cookies and similar local technologies that are necessary for authentication, security, preferences, and core Service functionality. In production, we may also use Amplitude to understand page views, session activity, and feature use. We configure analytics to avoid capturing form contents and to replace sensitive link tokens and record identifiers in tracked page paths with generic placeholders.
Browser or device settings may let you restrict cookies or mobile identifiers, but doing so can affect sign-in or other features. Where required by law, we will provide additional choices before using non-essential technologies.
06
Your choices and privacy rights
You can update much of your profile and change notification preferences in the Service. You may opt out of optional SMS or email notifications through those settings or the instructions in a message. Essential account, security, and service messages may still be sent.
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of personal information; object to or restrict certain processing; or withdraw consent. To make a request, use our support form. We may need to verify your identity. If a captain added your roster information, please identify the relevant team when possible. You may also have a right to appeal our response or contact your local data protection authority.
07
Data retention and security
We retain information for as long as reasonably necessary to provide the Service, maintain team records, comply with legal obligations, resolve disputes, prevent abuse, and enforce agreements. Retention depends on the type of information, why we collected it, and applicable law. We may retain limited records after account deletion when required for those purposes, and deletion from backups may take additional time.
We use administrative, technical, and organizational safeguards designed to protect information. No system is completely secure, however, and we cannot guarantee absolute security. Keep account credentials and private team links confidential and tell us promptly if you suspect unauthorized access.
08
Children’s privacy
The Service is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13. If you believe a child has provided us personal information contrary to this policy, please contact us. Captains and administrators are responsible for having appropriate authority before adding a minor’s roster information.
09
International users
CourtRoster and its providers may process and store information in the United States and other countries whose laws may differ from those where you live. Where applicable, we use legally recognized safeguards for international transfers.
10
Changes to this policy
We may update this Privacy Policy as the Service or legal requirements change. We will post the updated policy here, revise the effective date, and provide additional notice when required by law. Your continued use of the Service after an update is subject to the revised policy.
